      Nature and Scope of Work:

      This is clerical work of some variety and complexity involving the provision of information and assistance to a variety of contacts and the processing and issuance of a variety of permits and certificates. An employee handles enquires and explains policies, regulations and procedures, operates police system computer terminals to retrieve, verify and/or record information and performs a variety of related clerical tasks. An employee of this class also responds to 911 emergency and non-emergency calls, takes reports on non‑emergency matters and provides information to the public on a variety of matters. Working under minimal supervision, an incumbent exercises considerable independent judgement and action within defined limits, referring only specific enquiries or unusual problems to a superior. A superior reviews work performance in terms of conformance with established policies and procedures and efficiency in serving the department and the public.

      Illustrative Examples of Work

      Provides information and assistance to the public; responds to emergency and non-emergency calls for Police; handles complaints and enquiries and explains rules, regulations and procedures within prescribed limits.

      Processes requests for police information checks; prepares, completes and returns documents to requesting agency; sends message to other agencies for release permissions; receives fees and issues receipts; processes applications for permits such as police certificates; process requests for criminal record searches, as required.

      Responds to telephone calls on emergency and non-emergency matters from members of the public; questions and screens callers to determine the nature of the emergency and the nature and urgency of the police response required; where Police attendance is required, obtains pertinent information from the caller and enters critical incident details and assigns an incident type to the call using the equipment and systems available and forwards details to the appropriate contact.

      Operates PRIME, CPIC and CAD computer terminal equipment to conduct police information checks and to enter and retrieve information for the completion of various forms related to the work.

      Prepares routine correspondence; maintains a variety of files, records, ledgers, reports and statistics related to the work; types various materials from copy or general information.

      Operates CPIC, PIP/LIEP, JUSTIN, PRIME and CAD computer terminals and uses a variety of software; enters appropriate information from permit applications and obtains applicable information; completes required forms.

      Maintains the integrity of entities in the Master Name Index (MNI) data base of PRIME in accordance with established guidelines with information on driver’s licences, birth certificates and other official documents to ascertain validity and makes required corrections; identifies trends in user errors and brings to the attention of the appropriate supervisor; refers errors by another jurisdiction to the appropriate agency.

      Prepares a variety of records and reports, creates and maintains related files; composes routine correspondence and compiles statistics as required; takes reports at the counter and completes applicable forms for complaints, forwards reports requiring further investigation to a superior; concludes reports not requiring further action.

      Fingerprints persons charged with indictable offences and/or persons requiring such for job applications, immigration purposes and other security reasons.

      Maintains detachment security by ensuring all non-detachment personnel are identified and dealt with according to established policies; arranges for escorts for visitors to the detachment.

      Performs related work as required.

      Required Knowledge, Abilities and Skills

      • Considerable knowledge of the policies, procedures, rules and regulations applicable to the work performed.
      • Sound knowledge of modern office methods and procedures, record keeping and of computer operation as it relates to the work.
      • Working knowledge of the Criminal Code of Canada as it applies to the work performed.
      • Ability to deal effectively with the public, internal staff and external agencies and to apply sound judgement in providing assistance and explaining specific rules, regulations and procedures and serving subpoenas and summonses.
      • Ability to process applications for various certificates and permits and to process requests for criminal record searches and take fingerprints.
      • Ability to listen and discern significant information from the caller and to retain facts pertaining to an incident.
      • Ability to exercise sound judgement in making quick and accurate decisions regarding departmental responsibility and action.
      • Ability to prepare, verify and maintain a variety of files, records, statistics and reports.
      • Ability to type rapidly and accurately and to operate CPIC, PIP/LIEP, JUSTIN, PRIME and CAD and other terminal equipment used in the work.

      Desirable Training and Experience

      Completion of Grade 12 including or supplemented by commercial, word processing and CPIC, PIP/LIEP, JUSTIN, PRIME and CAD operator’s courses plus sound related experience, preferably in an RCMP detachment; or an equivalent combination of training and experience.

      Required Licenses, Certificates and Registrations:

      Security clearance is required and will be maintained throughout employment.
