The Receptionist is responsible for providing administrative support and managing the main switchboard at the Burlington Office. This role involves handling various administrative duties, attending to visitors, and ensuring smooth communication within the office. The Receptionist plays a crucial role in maintaining an organized and efficient office environment.
Role Responsibilities
Ӣ Visitor Management: Greet and assist visitors, ensuring they adhere to company policies and
maintain a safe, welcoming, and hygienic reception area.
Ӣ Telephone Operations: Operate the telephone system to answer, screen, and forward calls,
take detailed messages, and provide necessary information to callers. Handle queries and
complaints via phone, email, and in-person communication, ensuring all issues are resolved
promptly and professionally.
Ӣ Payroll Assistance: Review timesheets and enter hours in SAP to assist the processing of
payroll for non-union employees accurately and act as a backup for manufacturing (union)
employees” payroll during vacations.
Ӣ Office Supplies Management: Monitor and order office supplies through Grand & Toy to
ensure the office is fully stocked with required supplies.
Ӣ Social Committee Participation: Actively participate in the CIMCO Social Committee,
coordinating and organizing company events to foster a positive workplace environment.
Ӣ Mail Handling: Receive, sort, and distribute daily mail efficiently, ensuring all correspondence
reaches the correct recipients and documents are processed according to company
protocols.
Ӣ Cheque Processing: Sort and prepare cheques for courier and mail delivery to US and
Canadian destinations weekly according to the company”s schedule.Required Professional Knowledge, Skills & Qualifications
Ӣ Experience: 1-2 years of relevant experience in a similar role.
Ӣ Education: High School diploma or equivalent.
Ӣ Highly organized, accurate, efficient, and disciplined.
Ӣ Ability to take initiative to develop and create administrative processes.
Ӣ Flexibility and adaptability to changing business priorities.
Ӣ Strong verbal and written communication skills.
Ӣ Experience with customer service.
Ӣ Proficient knowledge of Microsoft Office products (Word, Excel, Outlook).
