      Job summary

      Join our reception team at Mallard Medical Practice, a small and friendly GP surgery dedicated to providing exceptional healthcare to our community. As a receptionist here, you'll play a vital role in being the initial contact for our patients. You will be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

      Main duties of the job

      You will act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.

      About us

      We are a friendly and welcoming GP Practice in the heart of Killingworth, North Tyneside. The practice has a population of little over 5,500 registered patients. We have a small admin/recepetion team, 5 GPs who are supported by an excellent multi-disciplinary team of a Nurse, a HCA, one Physician's associate, a clinical pharmacist, and a pharmacy assistant. The practice teaches medical students from Newcastle and Sunderland University.

      Job description

      Job responsibilities

      The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

      Maintain and monitor the practice appointment system

      Process personal, telephone and e-requests for appointments

      Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

      Signpost patients to the correct service

      Initiating contact with and responding to, requests from patients, team members and external agencies

      Code data on the clinical IT system

      Photocopy documentation as required

      Data entry of new and temporary registrations and relevant patient information as required

      Input data into patients healthcare records as necessary

      Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team

      Manage all queries as necessary in an efficient manner

      Carry out system searches as requested

      Maintain a clean, tidy, effective working area at all times

      Monitor and maintain the reception area and notice boards

      Support all clinical staff with general tasks as requested
