Provides the initial face-to-face and telephone contact with visitors, residents and families, providing direction and notifying appropriate personnel as required. Greet visitors; determine purpose of visit, and direct visitor to proper location or person; Inform staff of visitor’s arrival
Answer telephone, take messages or forward calls to voice mail, and place outgoing calls as requested or needed using Home-specific procedures.
Monitor arrival and departure of residents from the home
Perform incidental clerical work including typing, filing, delivering messages, sorting mail, photocopying, faxing, etc.; other duties as assigned, etc.
Prepares courier packages and arranges for pickup
Promotes a positive working environment with the service providers and suppliers working with the Home
Maintains positive communication between the Home and community services
Advises supervisor or designate immediately of all staff incidents that may result in an Occupational Accident Claim, any concerns with the physical plant, incidents or injuries and completes required reports
Follows all health and safety policies and procedures. Works safely to reduce the risk of injury to self, co-workers, and residents
Wears personal protective equipment as designated
Maintains a clean, safe environment for residents utilizing infection control principles
Maintains a sound working knowledge of their roles and responsibilities during all emergency situations as applied to all assigned shifts and hours of work
Fosters positive customer service with residents and families in their day-to-day work
Answers questions / enquiries in a prompt and professional manner
Conducts tours for prospective residents / families as required
Participates in all aspects of the Quality and Risk management program as required
Contributes to the development of recommendations for corrective action to reach corporate mean for indicators
Maintains personal accountability for completion of monthly audits as assigned
Provide assistance with call-ins and scheduling; may provide assistance with supply distribution
Fosters good working relationships with relevant persons within the Ministry of Health
Other duties as assigned
Secondary school diploma or equivalent
Possess proven office administration skills
Must possess excellent communication skills
Must be proficient with Word, Excel, e-mail, internet use and computerized documentation
Demonstrated professional and ethical responsibility to protect privacy, use confidential information appropriately, treat sensitive situations with appropriate degree of tact and discretion
Demonstrated customer-service and interpersonal skills at a level to develop and to maintain cooperative/collaborative working relationships both within and outside the organization
Excellent time-management skills with the ability to prioritize workload and meet deadlines, and the ability to deal with multiple demands
Excellent written communication skills with attention to detail and accuracy
Excellent organizational and administrative skills with the ability to work independently and in a team environment
Ability to demonstrate initiative consistently with commitment to quality improvement
Demonstrated ability to understand and abide by municipal policies and procedures
Upon a conditional offer of employment, an acceptable Criminal Record Check will be required

Wage $23.34 - $25.24 hourly (2025)
Reports To Office Manager

Location Victoria Manor, Lindsay, ON
Hours Part-time, 15 hours (approx.) on a bi-weekly basis; includes evenings and weekends
