      Job summary

      We are looking for an enthusiastic new member to join our current reception and administrative team here at Tower House Surgery.

      You will form part of the front line team that make up the first line of contact that the patients have when engaging with the surgery either by telephone or face to face. The role will involve signposting and supporting the patients to the most appropriate service based on their needs.

      Main duties of the job

      • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
      • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
      • Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
      • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

      About us

      Tower House Surgery is a one site surgery and looks after approximately 14500 patients in and around the Ryde area.

      The team comprises of 7 GP partners and 2 salaried GPs, 6 advanced practitioners, 8 practice nurses, 2 phlebotomists and 3 HCAs. We also have two managers and a team of 40 staff. Along with our own staff we work closely with our local Social Prescribers, Care Co-ordinators, Physiotherapists and Health and Wellbeing Coaches.

      We are an established training practice for both F2s and GP Registrars and support a number of our staff to study for formal qualifications. Our CQC rating is good in all areas. QOF achievement is consistently good and patient surveys have been extremely positive.

      Tower House is currently the lead practice in the NE PCN which it belongs to along with 5 other local surgeries. These surgeries work together on a number of projects to deliver healthcare services to the NE of the Isle of Wight.

      The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Office Supervisor or Operations Manager, dependent on current and evolving practice workload and staffing levels.

      • Opening up and locking up of practice premises and maintaining security in accordance with practice protocols

      • Maintaining and monitoring the practice appointments system

      • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional

      • Processing and distributing incoming and outgoing mail

      • Taking messages and passing on information

      • Filing and retrieving paperwork

      • Processing repeat prescriptions in accordance with practice guidelines

      • Computer data entry, data allocation and collation, processing and recording information in accordance with practice procedures

      • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

      • Providing clerical assistance to practice staff as required from time to time, including word and data processing, filing, photocopying and scanning
