      Job Title: Receptionist/Office Clerk (ATU-Clerical Represented)

      Section: Marketing & Communications

      General Summary

      Under direct supervision, the Receptionist/Office Clerk operates the switchboard during Authority business hours, greets and announces visitors of SMART’s Central Office, sorts and processes mail, maintains office supply inventory, and performs other tasks as assigned.

      Duties and Responsibilities

      • Directs incoming telephone calls to appropriate personnel.
      • Greets, announces and contacts appropriate staff to greet Central Office visitors in the lobby.
      • Performs miscellaneous desk tasks as assigned such as sorting, collating, stapling, mailing, etc.
      • Receives hand delivered mail/parcels and notifies proper individual of delivery.
      • Ensures lobby area is neat and orderly.
      • Sorts inbound and outbound, interdepartmental and external mail.
      • Processes outbound mail (including packages) determining the most cost effective method (i.e. USPS, UPS, Federal Express, etc.).
      • Maintains postage inventory and requests replenishment as required.
      • Maintains Central Office supply inventory, assists with approval of online office supply orders for Authority, and replenishes inventory as required.
      • Orders photocopy and printer supplies and maintains inventory. May assist with paper deliveries from vendor.
      • Arranges for maintenance of Central Office photocopy machines. Troubleshoots minor photocopy machine problems.
      • Performs other related duties as required.


      Knowledge, Skills and Abilities

      • High school graduation or equivalent.
      • One year of office clerical experience.
      • Previous switchboard experience.
      • An equivalent combination of education and experience may be substituted for minimum requirements.
      • Ability to speak clearly and distinctly.
      • Proficient in the use of Windows-based word processing and spreadsheet applications .
      • Ability to lift and transport 50-pound boxes of paper or other office material.
      • Ability to operate office machines and photocopy equipment.
