      Your opportunity:

      The Registrar’s Office at Woodsworth College aims always to be a reliable first point of contact for students, providing accurate information and sound advising on academic and related issues in an atmosphere of trust, confidentiality and comfort for a diverse student body of a little over 5600 undergraduate students. The staff of the office work cooperatively to solve student issues, improve student retention, encourage academic success, promote personal development, and support student mental wellness.

      Under general direction of the Director, Access Programs and Registrarial Services, the Registrarial Services & Academic Advisor is responsible for initial one-to-one advising of students in person, by phone, by video chat and by email on matters related to course enrolment and registration, academic and related issues, academic planning and the undergraduate student experience, referring when necessary and as appropriate to specialized portfolios within the office and specialized services at the University.

      The Registrarial Services & Academic Advisor maximizes access to registrarial information, guidelines, practices and policies pertinent to A&S students in order to address the needs of students, answer questions, solve problems, reconcile data errors, help prospective, future and current students discover opportunities to excel, and provide students a sense of belonging to the Arts & Science community.

      The Registrarial Services & Academic Advisor models an impressive ability to interact effectively with people of different cultures, backgrounds and orientation and in a way that is responsive to diverse language and linguistic needsand respectful of health beliefs and practices.

      Your responsibilities will include:

      • Advising students on program and/or course requirements, budgeting and personal financial management by probing and providing a range of options and possible consequences
      • Resolving issues within the scope of the role and escalating problems as required
      • Acting as the first point of contact for general enquiriesCoordinating and meeting drop-in appointments to ensure urgent situations are given priority
      • Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary
      • Planning components of projectsFacilitatingeducational workshops and seminars
      • Analyzing administrative processes and procedures and recommending changes for improvement
      • Verifying the accuracy and completeness of informationVerifying and reconciling data errors
      • Providing proactive support to individuals in distress and making referrals to specific university servicesVerifying the accuracy and completeness of information

      Essential Qualifications:

      • Bachelor's Degree or acceptable combination of equivalent experience.
      • Minimum four years of recent and related experience providing undergraduate students and administrative support in a registrar’s office in a university setting, preferably in a college registrar’s office.
      • Experience in academic and financial advising to current and prospective undergraduate students, including international students and students from diverse backgrounds.
      • Experience facilitating presentations and workshops
      • Experience working with databases; maintaining, compiling and interpreting data, and preparing reports.
      • Demonstrated experience interpreting and applying guidelines, procedures, and policies to support decision making.
      • Demonstrated working knowledge of ROSI or similar student related systems, with the ability to retrieve information, interpret data, and prepare reports.
      • Advanced working knowledge of Microsoft Office suite (Outlook, Excel, Word, PowerPoint, OneDrive, SharePoint).
      • A demonstrated strong student service orientation and commitment to student issues is required, with knowledge and demonstrated application of cultural safety, and equity, diversity, and inclusion principles as applicable for post-secondary students.
      • Experience training and directing casual employees.
      • Ability to exercise tact, judgment and diplomacy, especially when dealing with confidential matters.
      • Must be welcoming and professional, able to deal with sometimes difficult and/or demanding individuals. Ability to handle multiple inquiries simultaneously at peak periods, to prioritize work and to work under pressure to meet deadlines.
      • Ability to take initiative and work proactively, with demonstrated experience recommending process and workflow improvements.
      • Strong organizational skills, with a high degree of accuracy and attention to detail.
      • Excellent verbal and written communication skills.

      • Knowledge of the University of Toronto and the Faculty of Arts & Science’s undergraduate programs, procedures, guidelines and program offerings.
