- Consult with internal and external clients to evaluate project requirements, timelines, and budgetary limits and present the production and distribution processes and requirements.
- Assess project needs to develop product specifications and determine optimal quantities for production.
- Manage, approve, and authorize project expenditures; analyze costs, schedules, and vendor payments and recommend changes when advisable.
- Enter project details and product specifications into project management databases.
- Submit quote requests to vendor(s), review estimates and select appropriate vendor to manage the production, inventory, and/or distribution of a project.
- Develop work orders with print or product specifications for all products and components for client review and approval.
- Submit approved work orders and collected final art to vendors. Monitor progress of projects awarded to vendors.
- Review vendor proofs and samples for accuracy and completeness, correct where needed.
- Consult with vendors to ensure production and distribution standards and requirements are met.
- Oversee domestic and international shipments, USPS mailings and arrange hand deliveries.
- Monitor, maintain, and organize the DCRI Shipping Inbox and process starter kit and resupply orders for domestic and international clinical study sites.
- Maintain up-to-date clinical site shipping address lists for multiple study projects and ensure addresses are current within vendor fulfillment website.
- Create and manage product lists for fulfillment website and ensure products are correct on vendor fulfilment website. Maintain updates to the website for new products and amendments items.
- Set-up user ID and password lists for fulfillment website.
- Develop and maintain online resupply forms for clinical sites to order study resupply items.
- Monitor progress of projects awarded to vendors to ensure fulfillment website accuracy and completeness, correct where needed.
- Develop and maintain production status reports, inventory and distribution reports and project status reports. Provide inventory and activity reports to project team monthly or as needed.
- Review work of writers and designers to ensure adherence to project and product specifications; provide feedback; troubleshoot potential errors that could affect production costs and timelines.
- Assist CRCS I team members as they work with internal and external clients, team members, and vendors. Act as a resource for questions or concerns and assist with solving production and/or distribution problems that arise.
- Manage the production and distribution for all amendment materials and reprints.

Seeking Experienced Research Communicator with a Focus on Diversity, Equity, and Inclusion
The DCRI’s Research Communications & Engagement (RC&E) team is seeking an experienced Research Communications Specialist II to join our team. This team member is responsible for co-leading the development and implementation of communications strategies and tactics for DCRI-led clinical research projects, which range from traditional clinical studies to research networks, industry consortiums, and partner collaborations. Our communication programs are designed to engage a broad range of stakeholders, including patients, caregivers, clinicians, researchers, healthcare leaders, and policymakers.
The ideal candidate will possess strong project management, writing, and communications skills with a strong attention to detail. The candidate must be able to work with and manage teams of people, without having direct supervisory responsibilities. This position requires a background including an understanding of effective communications approaches, and a desire to learn about clinical research engagement and communication.

About DCRI Research Communications & Engagement (RC&E)
The DCRI’s RC&E team is a specialized health communications and engagement agency serving external research sponsors (e.g., NIH, FDA, biopharma industry). We are fully billable and accountable to our research sponsors. Recognizing that engagement and communications are inextricably linked, our team comprises clinical research communicators and engagement specialists with decades of experience developing compelling, informative, and strategic communications and engagement approaches in support of our research programs and studies.
Our team includes members skilled in communications strategy, marketing, social media, web development, videography, graphic design, production management, and medical writing and editing. We understand the science of communications and work alongside our research sponsors and project teams to produce print, multimedia, and digital communications that engage a wide range of stakeholder audiences. Our programs support research operations, including recruitment, retention, ongoing engagement, and translation of research into care.
The DCRI has a long history of engaging representative stakeholders at every step of the research process. Key to the success of the DCRI’s RC&E is our Research Together program, which builds and sustains equitable, authentic, and collaborative relationships with key stakeholders in our research communities, including patients and their caregivers. This foundation supports the integration of stakeholder values and beliefs into the research development and dissemination process. The DCRI’s RC&E team uses a holistic, inclusive approach to develop culturally relevant engagement and dissemination strategies that promote meaningful collaborations between and among our researchers and research communities.
About the Position
Plan, coordinate and implement the production and distribution of high-quality materials within budget and timelines for institutional, event, and clinical research projects and programs. Manage and oversee a variety of duties associated with the production and distribution of materials for events, exhibits, DCRI and Duke departments, and/or clinical research projects. Responsible for entering project data into project management software, creating product specifications, managing budgets, quoting/estimating, executing print production, collecting artwork, purchasing, and invoicing, managing inventory and distribution, and shipping of project materials. Manage outside vendors and collaborate with internal and external clients. Clearly and accurately communicate project information, the production and/or distribution processes, and production requirements and expectations. Assist with the development of production and distribution standards, procedures, and practices and consistently implement them for achieving project requirements and client expectations. Assist in the training of CRCS I’s and act a resource to answer questions or assist with production and/or distribution projects.
Demonstrate excellent communication skills in addition to technical skills, strong project management proficiency, and clear understanding of production and distribution management. Keen ability to analyze costs, provides creative suggestions to work within budgets, works effectively in a complex environment at all levels. Anticipate production and distribution problems, develop strategies to prevent or fix problems, and communicate problems and solutions to clients, coworkers, and/or vendors. Ability to work independently and within a team environment.
