      Job Description:

      Title: Sales Support - Personal Lines

      Fully remote for Florida based candidates.

      About the Role: Responsibilities for IOA Sales Support in the Personal Lines department include providing administrative support to all branch/team personnel, meeting performance requirements, production, quality, and service while maintaining established industry and company guidelines. The role involves managing incoming phone calls, processing payments and cancellations, handling non-premium/coverage bearing endorsements, scheduling conference rooms, and performing clerical duties. The specialist assists the assigned team in handling recurring, narrowly defined customer service tasks.

      Key Responsibilities:
      • Client Service: Deliver outstanding client service at all times, including proactively anticipating client needs, maintaining frequent and professional client communication, and responding quickly to any service requests.
      • Administrative Support: Provide administrative support to all branch/team personnel, including processing cancellations, reinstatements, payment processing, and administrative endorsement requests (in situations where no license is required).
      • Phone Management: Answer questions, provide support, or triage incoming calls.
      • Carrier Reporting: Monitor daily carrier reporting and activities.
      • Team Backup: Act as back-up for teammates as needed, covering for others in their absence and ensuring overall team service excellence.
      • Process Improvement: Constantly look for, recommend, and implement process improvements and best practices to improve individual, team, and organizational effectiveness.
      • Performance Communication: Maintain frequent and transparent communication regarding individual performance and activities with supervisor, and seek, accept, and implement performance coaching.
      • Claims Support: Work effectively with personal lines teams, seeking input and developing win-win solutions to any claims-related process, service, quality, or productivity issues; this includes identifying and understanding insurance-related forms of communication.
      • Compliance: Comply with all company work rules, standards, and policies and procedures at all times.
      • Technical Competence: Establish an understanding of technical competence and industry/market terms and programs.
      • Policy Management: Download policy documents from carrier websites, review new policy checklists, and follow through to completion.
      • Renewal Notices: Assist with sending out renewal notices.
      • ID Cards: Generate client auto ID cards, evidence of insurance, or binder requests.
      • Endorsements: Process endorsements to update effective dates, change mortgagees, update addresses, or any personal contact information.
      • Cancellations: Handle all cancellation requests initiated by the insured and notices of cancellations due to non-payment.
      • Office Supplies: Monitor and order office supplies.
      • Mail Management: Perform administrative and general office duties, including processing/distributing incoming and outgoing mail and mailing out policy packets for clients.


      Ideal Candidate Qualifications:
      • High School Diploma (or equivalent)
      • Exceptional administrative, multitasking, and organizational skills
      • Outstanding communication and customer service skills
      • PC Proficiency including basic MS Office knowledge (Outlook, Word, Excel)
