Position: Senior Associate, Special Events and Experiences
Location: Based in New York City Headquarters
FLSA Status: Exempt
Salary: The estimated salary for this position is $59,700. The midpoint for the salary grade is $69,700. Actual pay will vary based on various factors, including but not limited to relevant experience.
Position Description:
Reporting to the Senior Director of Special Events within the Philanthropy Division, UNICEF USA (UUSA) is seeking a Senior Associate, Special Events and Experiences to support event and community fundraising initiatives. The department’s mission is to produce never-before-seen educational, emotional experiences that will connect diverse target audiences across the supporter continuum to UNICEF’s timely program work around the world. Each project inspires attendees to give urgently while raising national awareness for challenges facing the world’s children today. The Senior Associate will support administrative efforts of the department, including fundraising, seated formal events, and community-led third-part fundraisers. This position will work closely and collaboratively with UUSA philanthropy and program teams.
Community Fundraising and Peer-to-Peer (50%):
· Manage the Fundraiser + Event Application process:
o Review, approve and support new applications coming in on a weekly basis for community fundraising events organized nationwide (10-12 applications coming in on a weekly basis on average);
o Vet all applications for DREB and Child Safeguarding compliance working with internal UUSA teams when applicable;
o Screen a high volume of submissions for company-hosted community fundraising events which can be especially high during humanitarian emergencies;
· Manage revenue booking from completed community fundraising events, working with colleagues in finance to ensure that the correct appeal codes are credited towards revenue received;
· Submit invoices through NetSuite for payment of approved reimbursements, vendor payments, etc.;
· Arrange and lead conference calls with individuals/groups that are approved to host or are interested in hosting an activity on behalf of UNICEF USA, including brand risk assessments;
· Maintain the hello@unicefusa.org account and review materials/resources created by hosts that use the UNICEF name and/or logo (this includes fielding requests like: ‘I am an artist who wants to support UNICEF through my work,’ ‘I want to produce a benefit concert in my community,’ ‘My company wants to support UNICEF through sales of a product’);
· Review approved event ticketing pages to ensure proper use of the ‘in Support of UNICEF USA’ logo and relationship of event host to UNICEF USA;
· Monitor all promotional materials for approved events including, but not limited to, ticketing page, website, flyers, event listings, to ensure proper use of the ‘in Support of UNICEF USA’ logo and compliance to legal disclaimers;
· Provide technical support to individuals/groups that are approved to host or are interest in hosting an activity through our fundraising platforms including our ticketing platform, TicketSocket;
· Assist with tracking/analyzing results of programs and campaigns to assess futures efficiencies / creating and presenting project recap reports (Trick-or-Treat for UNICEF, event applications submitted to support emergencies, etc);
· Work collaboratively cross divisionally to identify story sharing/marketing opportunities;
· Participate in additional special projects as opportunity allows:
o Lead on reviewing, approving and supporting community fundraising events organized during the Trick-or-Treat for UNICEF campaign, including: sending merch to approved event hosts, troubleshooting peer-to-peer fundraisers, coordinating winning prizes, helping book Trick-or-Treat for UNICEF revenue (following up to ensure supporters remit funds online), submitting invoices for payment through NetSuite, and gathering and reporting out on results, metrics and opportunities;
o Help revamp Community Fundraising resources, such as one-pagers, toolkits, guides and the Fundraiser + Event Resources page;
o Update high profile or board member led Community Fundraising projects in Trello;
Special Events and Experiences (50%):
· Support a high volume of contract and invoice processing for the department, including the tracking and timely approval/payment of vendors who have been hired to work on events;
· Event vendor management (creative and design, mail house, subscriptions, fundraising platforms);
· Oversee mailing lists and RSVPs, data entry in BBCRM / Event Module for the following events:
o 13+ cultivation events nationwide
o Marquee events in 13+ cities
· Volunteer recruitment, management, and training prior and during event programs;
· Manage all creative, promotions, platform, and external communications for the marquee events;
· Processing expense reports for staff;
· Train other Associates on event programs regularly (event module, website edits, photo sharing sites, basic business practices);
· Upload, label and distribute photos after events;
· Process revenue and pull regular revenue reports;
· Manage extensive inventory in storage, packaging and shipping items when needed for events; work with administrative staff on all packing and creating shipping labels, tracking, etc.;
· Miscellaneous tasks, including but not limited to: fact-checking copy for event materials, committee name proof-reading, sourcing photos from our database to use in event materials, research projects and benchmarking, assembling programs and event materials, counting chairs to ensure they match seating charts, acting as lead on comms for our team, assisting with pack-up and shipping.
Qualifications:
· Bachelor’s degree with a minimum of 3 years of experience in event fundraising, data entry, customer service, budget management, or a related field;
· Excellent interpersonal, written and verbal communication skills
· Strong networking skills with a track record of building mutually beneficial relationships with stakeholders
· Strong organizational and project management skills; ability to manage multiple projects and priorities while consistently meeting deadlines is essential
· Experience working with international children’s issues is a plus
· Experience working with large numbers of volunteers, corporate partners and/or vendor management a plus
· Proficient in Microsoft Office applications including Word, Excel, and PowerPoint; must be skilled internet researcher

· Domestic travel required: up to 4 times per year for 3-5 days.
Must possess current and valid US Work Authorization and be eligible to work for any US employer without sponsorship.
