      Primary Purpose:

      The Senior Manager, Meeting Services will be responsible for evaluating plans and executing all aspects of production of our signature event collection conferences. This position will work closely with FMI’s Consultant to better understand and learn the recruitment process of the Business to business (exhibits) meetings and will be responsible for the management of FMI’s drayage company, will create the exhibitor/supplier kit, signage, produce all event orders with the hotel and will provide customer services to this community.

      E ssential Job Functions:

      Lo gistical Planning and Execution of Meetings Responsibilities:

      • Solicit hotel bids and work closely with national sales representatives within each hotel community.
      • Performs site inspections of various properties, as needed.
      • Conducts hotel pre-conference meetings with pertinent leads at the property.
      • Works with speakers and sponsors, speaker rehearsals, etc. Responsible for Sponsorship fulfillment.
      • Assists with hotel and vendor selection, reviewing, and analyzing vendor and sponsor contracts, developing meeting specifications, preparing, and reviewing banquet event orders.
      • Manage contracted hotel room block, selecting audio/visual company, and ordering equipment.
      • Arrange transportation for meeting guests.
      • Plan social events to occur during meetings/conferences.
      • Prepare and ship meeting materials while working within budget.
      • Manage conference survey and provides statistical data to increase attendee satisfaction.
      • Manage hotel staff on-site to execute exceptional meetings. Ensures that functions are set to the specifications set by the BEOs. Communicate modifications or changes to room sets and meal functions, ensures collateral is placed at each setting, audio visual requirements are in the room and in working order, and meets with technicians to review content.
      • Lead pre-conference staff meetings.
      • Assist in developing budgets by forecasting projected revenue and expenses tracking them and reports findings versus budget.
      • Review and approve hotel and vendor invoices.
      • Create and manage the Request for Proposal process for third-party vendors, including negotiating vendor contracts. Manage selected vendors that provide audio/visual, signage, general service contractor, conference give-a-ways, buses/transportation, and special events while working within budget.
      • Work with the FMI General Services Contractor on all aspects of drayage, material handling and shipping and receiving for FMI Midwinter Executive Conference, as well as the Exhibitor Kits for the Strategic Executive Exchange program.
      • Creates signage for assigned events.

      B2B Responsibilities:

      • Responsible for elements of planning, managing, and executing FMI’s B2B meetings, including event orders, signage, shipping and receiving, and other logistical components related to the managing and execution of the events at the hotel.
      • Work in conjunction with FMI’s B2B Consultant to learn the nuances of the various programs, including the FMI Scheduler.
      • Serve as liaison to SEE’s and ABC communities, including retailer, wholesaler, product supplier and associate members to answer questions and direct them to the correct FMI team member, and overall, just be an additional resource for them.
      • Responsible for the fulfillment of sponsored products, goods and services sold to companies by the membership team, and ensures visibility on applications, conference materials, collects logos and prints files for placement on products, seeks approval from Sponsor of mock pieces prior to production.
      • Collaborate with FMI Senior Leadership on strategic plan for B2B meetings with the Industry Relations, Education and Member Services Departments to establish brand continuity and consistency through pre, on-site and post event communications, events, marketing, and touch points.
      • Ensures that sponsorship meets all criteria listed in contracts. Assists in the production of the Sponsorship Services Kit, calculates expenses and determines sponsorship value. Recruit and/or retain Sponsors for multiple conferences.
      • Compose written event information for promotional pieces through Marketing Department, website, registration materials, conference materials and other related documents. Prepare supplier/sponsor guidelines and PowerPoint presentations (as needed).

      Other Job Functions:

      • Assist with special projects as needed within the Meeting Services Department.
      • Other duties and projects as assigned or directed.
