      Job Summary

      Reporting to the HEOP Program Director, the Senior Staff Assistant will provide administrative support to the HEOP office and professional staff. Duties include, but are not limited to: completing hire paperwork for all student employees (tutors, mentors, etc.) and reconciling timesheets; liaise with Enrollment Management during admissions cycle to request documentation from EM, interested HEOP students, interface with Slate (EM system), and schedule prospective student interviews; schedule student appointments for all professional staff, send appointment reminder emails; send other communication to students as requested by professional staff; coordinate HEOP events during the academic year; partner with HEOP professional staff and MCAS office on coordination of summer program; manage HEOP department email account.

      Job Responsibilities

      Major Responsibilities:

      Administrative Support:

      • Admissions support includes:
        • Work with director to prepare admissions forms. Coordinate with RIT Admissions to send mailings. Handle phone, email, and in-person communication with applicants, guidance counselors, and parents. Schedule prospective students for face to face or Zoom interviews. Review confidential economic documentation for financial eligibility following SED guidelines. Input data for SED reports.
      • Tutoring Program support includes:
        • Process new hire forms, complete payroll change forms for 75+ student tutors. Input data for SED reports.
      • Support for Professional staff:
        • Scheduling coaching appointments, pulling information from SIS, tracking study hours attendance, sending appointment reminder emails and missed study hours emails
      Event/Program Support:
      • Serve as department liaison to Student Employment Office; track tutor and student mentor hours, reconcile timesheets in Kronos.
      • Participate in DDI Summer Experience program (MCAS and HEOP students) planning and implementation of welcoming dinner, social activities, etc.
      • Coordinate recruitment activities and attend college fairs.
      • Coordinate program event planning which includes reserving rooms, ordering food, requesting flyers, creating event in Campus Groups and tracking attendance.
      • Support department staff with special projects as needed.
      • Manage and maintain various HEOP databases and data collection systems which include, but are not limited to program tracking, grade roster, eligibility roster, enrollment projections, and student performance & graduation data. Input data for SED reports.

      Other duties as assigned by director

      Required Qualifications

      Education and Experience Requirement:

      • 2-4 years of professional experience in a high traffic office OR Associate’s degree with at least 1-year of professional office experience or
      Skills:
      • The ability to successfully manage a fast-paced, dynamic office with demanding needs
      • Intermediate level of Microsoft Office Suite
      • Knowledge of or willingness to learn Kronos and Oracle
      • Excellent customer service and interpersonal skills
      • Written communication abilities including proofreading and document creation
      • Strong oral communication skills with tact and diplomacy
      • Ability to manage multiple tasks/projects and adjust priorities in a fast-paced environment
      • Ability to work with diverse individuals at all organizational levels
      • Understanding of or willingness to learn RIT organizational structures, programs and policies
      • Attention to detail in all responsibilities
      • Flexibility and willingness to assume new tasks or special projects as requested.
