Provides a range of assistance by managing aspects of sourcing process for Travel Buyers, Sourcing Manager and overall Sourcing department. Works directly with Travel Buyers and Sourcing Managers to develop and adhere to sourcing and contracting deadlines as well as assist with cost savings data. Primary liaison for Management of some support department functions.Scope
Responsible for assigned program deliverables and other support as needed by Travel Buyers and Sourcing Managers. Support 25-50 programs per month. No direct report or budgetary responsibilities.
Primary Responsibilities
80% - CONTRACT SUPPORT:
Processes contracts in accordance with standards of the Company and Clients. Provides assistance to capture overall cost savings per contract using the Cost Savings tool and presenting the information with the completed contract. Accurately enters contracted room block into Infor CRM as needed. Posts all dually signed contracts and any necessary documentation into CRM. Ensures Travel Buyer commissions are accurately captured for bi-weekly payroll.
20% - BUDGET ENTRY:
Enters program hotel contract negotiations into a Excel document to capture revenue and concession savings. Processes multiple program types and uses different methods to achieve the results. Uploads budget and runs a Quality Check to ensure all portions of the budget are in alignment with company protocol. Communicates with Travel Buyer upon completion.
Qualifications
1. College degree preferred or equivalent
2. Preferred 1 year hotel sales/service or meeting planning experience.
3. Proven organizational skills.
4. Excellent computer skills, knowledge of Microsoft Office tools & ability to learn new technology quickly.
5. Ability to analyze and manipulate data and create custom reports.
6. Strong interpersonal communication and customer service skills.
