Job Description

- Provides administrative leadership/coordination for the Staff Council Office. This includes coordinating overall information/communication and workflow processes, assisting in determining and implementing office process improvements to improve efficiency and effectiveness of the office, serving as primary point of contact for the office with key stakeholders, ensuring activities conform to established goals and activities, coordinating timelines/deliverables, and conducting related analysis as needed.Oversight and reconciliation of the SC budget, which includes posting, monitoring, and reconciling operating and event budgets.
- Schedules all full Staff Council and SC Executive Committee (EC) meetings: establishes bi-weekly meeting calendar; reserves locations and secures space; schedules and confirms presenters; develops and distributes meeting agendas; manages related documentation; obtains and distributes all meeting materials; records minutes; highlight information which is distributed campus-wide; tracks and follows up with campus colleagues on issues raised at meetings.
- Provide logistical assistance and guidance to support the execution of their plans-of-work as needed.
- Working with the SC Elections Committee to facilitate annual member and leadership elections, including constituent alignment, nominations, and voting; new-member orientation; and changeover.
- Working with the SC Constituent Engagement and Programming Committee to plan and execute programming including the annual Staff Appreciation Day and picnic. This includes coordination with President’s office, marketing and communication of the event to all RIT staff, making all necessary purchases and oversight of event budget.
- Maintaining a log of policies, which tracks updates and review dates, informing the SC Policy Committee of policies that need to be reviewed.
- Provides direct administrative and project support to the SC Chair. Duties include but are not limited to: meeting arrangements, notetaking, and follow up of all old and new business items as directed by SC Chair.
- Leads and administers annual Presidential Awards for Outstanding Staff processes: co-chairs selection committee; solicits nominations; gathers, manages and distributes nominee support materials; schedules nominee interviews; coordinates all logistics for award ceremony and reception, including creation of ceremony script and presentation; coordinates recipient dinner at Liberty Hill.
- Associate’s degree or equivalent experience
- 5 years of administrative, office, programmatic experience.
- An equivalent combination of education and experience may be considered.

- Excellent writing and communication skills
- Excellent time management and organizational skills
- Familiarity with Microsoft Office suite
- Familiarity with event scheduling software
- Ability to work independently

- Familiarity with Oracle, Workday, Event Management System (EMS), Drupal, Qualtrics, Lenel, Google Suite
- Experience in higher education

Job Summary
With a high degree of autonomy, the Staff Council Coordinator has sole responsibility for all operational aspects of Staff Council (SC), a part of RIT’s shared governance system. The SC Coordinator manages the SC office and provides continuity within a body of ever-changing membership and leadership. The SC Coordinator interacts broadly across the RIT community, conveying a positive and professional image of Staff Council. The SC Coordinator supports the leadership team, including the chair, vice chair, and executive committee, while providing logistical assistance to standing committees for smooth and efficient operations.
The incumbent will regularly work with high-level administrators, including the President, Vice Presidents, AVPs, and Deans, and will serve as the primary point of contact for Staff Council. The incumbent will work with confidential information, interpret policy, coordinate the office workflow and various processes, and serve as a resource to the RIT community for questions relating to Staff Council. The incumbent must be able to work independently under minimal guidance, set priorities, independently propose solutions to problems requiring innovation and creativity, and exercise good judgment and discretion.
Reports to SVP, Finance & Administration; is supervised by the Chair of Staff Council. This is a full-time, 32-35 hour/week, 12-month position.

Department/College Description
Staff Council is one of the four governance groups whose representatives constitute the voting members of RIT's University Council. Staff Council is comprised of five (5) representatives from each of RIT’s six (6) voting blocks. Blocks are apportioned to departments and divisions based on the number of staff in each unit and representatives are a combination of exempt and non-exempt staff.
The Staff Council objective as a shared governance body is to open the lines of communication to and from the RIT community. The Council understands that its own recommendations may not be followed; however their ideas and thoughts will have been heard. By serving as a communications conduit for staff, Staff Council will be a catalyst for positive change within the Institute.
The Council will ensure that all staff are informed of the matters pertinent to their professional lives at RIT. This is not a union or bargaining unit. Rather, it is an effort to establish a system that will include staff as full partners with faculty and students, in the governance of RIT.How To Apply
