      Provide leadership to members of YWCA Hamilton’s Philanthropy team and across the organization to develop, implement and evaluate campaigns and initiatives to achieve annual and/or capital campaign revenue targets with an emphasis on donor stewardship and data management. The Stewardship Officer is responsible for implementing an annual fundraising plan and stewardship grid and tracking associated KPIs with the support of the Director. The Stewardship Officer is also responsible for coding all gifts, acts as the organizational lead for CRM and fundraising software, providing financial reporting and analysis across campaigns, coordinates online appeals pages, and manages all elements of YWCA Hamilton’s charitable tax receipting and in-kind gift processing in alignment with CRA guidelines. A skilled writer and communicator, the Stewardship Officer regularly communicates with donors and supporters through phone, email, and preparing thank you and acknowledgement letters. The Stewardship Officer will help to build and nurture relationships with current, past and prospective donors and provide meaningful stewardship opportunities to connect donors to the impact of their work.

      Donor Stewardship & Engagement

      · Work with the Director of Philanthropy and YWCA Hamilton Executive Team to identify organizational fundraising priorities and support the development and execution of related campaigns and initiatives;

      · Alongside Director, implement the department’s annual fundraising plan, stewardship grid, track KPSs and assign responsibilities to direct reports that are data-driven, donorcentric and align with YWCA Hamilton values;

      · Responsible for donor-facing communications including charitable tax receipting, gift acknowledgements, donation solicitation materials, direct mail campaigns, pledge reminders, fundraising appeal pages, thank you letters, donor reports and other print and/or digital touch points with donors;

      · Answers donor phone calls and general inquiries, updates recurring gift payment information and processes gifts over the phone while keeping accurately records;

      · With the Marketing and Communications team, develops fundraising materials, newsletters, and other communications to promote fundraising efforts and engage donors.

      Data Management

      · Organizational point person for fundraising software and CRM including data entry, security and user privileges, and systems integration, while working to ensure data integrity and alignment with YWCA accounting procedures;

      · Pulls and cleans lists and donation data to ensure the highest level of data integrity for initiatives like the annual Impact Report;

      · Provide leadership to YWCA Hamilton’s general appeals pages through online fundraising platforms (AKA Raisin) for one time and monthly gifts, and gifts in memory/honor, ticketing pages, personal fundraising pages, etc;

      · Collaborate with other departments (ex. Finance, Guest Services, Facilities, etc.) to ensure donor stewardship processes reflect the values of YWCA Hamilton and are CRA compliant;

      · Support Director with the management and monitoring of the department budget and provides GL coding for gifts and grants;

      · Tracks invoice payments, pledge payments and provides pledge notification reminders to appropriate relationship managers;

      · Confirm all event revenue is received and follow up on outstanding revenue as needed;

      · Ensure sound ethical management of all confidential donor information, accurate data and financial records and creating campaign reports to track and monitor progress;

      · Provide regular analytic reports, requested reports for Finance and other Department needs (T3010, audit, etc), and oversee maintenance of a fundraising dashboard;

      · Identify and evaluate risks associated with donor stewardship and data management and takes appropriate action to control the risks.

      Other

      · Work collaboratively as a Management Team within the Philanthropy Department and across the organization to further our mission;

      · Acts as a relationship manager with a small number of strategic donors as identified with the Director to engage throughout the year;

      · Works directly with various event and community committees to support YWCA community fundraising and signature events;

      · Maintains appropriate record-keeping in accordance with YWCA Hamilton policies and procedures, and confidentiality/privacy policies;

      · Provides recommendations to strengthen existing event related initiatives, policies or processes;

      · Provides regular reports and updates to Director of Philanthropy, CEO and Committees as required;

      · Represents the YWCA Hamilton and always maintains outstanding public relations skills and a professional image in the community;

      · Nurtures and forms meaningful internal and external working relationships and partnerships;

      · Fosters a safe and healthy work environment; ensures employees comply with health, safety standards that meet or exceed legislated requirements;

      · Stays current on fundraising standards, policies, best practices, and development trends by updating job knowledge, participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional association activities;

      · Supports YWCA Hamilton mission, vision and values;

      · Participate and provide mandatory organizational and departmental trainings and meetings;

      · Perform other duties as required.

      WORKING CONDITIONS:

      · Works a standard 37.50-hour work week;

      · Occasional evenings and weekends and travel may be required within the Hamilton and Halton Region.

      Qualifications

      · Equivalent to the completion of 2 years college in business, social services, public relations, or marketing;

      · Minimum 3 years’ working in the non-profit sector with fundraising experience, with a minimum of 1-year management experience;

      · Minimum of 1 year experience using donation processing platforms and/or CRMS/ Experience using Raiser’s Edge, DonorPerfect, and/or AKARaisin is considered an asset;

      · Demonstrated ability to think strategically, maintain confidentiality, exercise diplomacy, tact and good judgement;

      · Ability to develop strong relationships with diverse external agencies and create positive community connections;

      · Must be able to lead and work from a feminist, anti-racist/anti-oppressive perspective;

      · Must provide a current Criminal Record Judicial Matters Police check or willingness to obtain at own cost;

      · Excellent verbal and written communication skills;

      · Ability to travel within the Hamilton and Halton region;

      · Valid Ontario Driver’s License and access to a vehicle is considered an asset;

      · Ability to work occasional evenings and weekends with some travel as required;

      · Ability to work independently with minimal supervision, and also work effectively in a team;

      · Bilingual English/French or other languages an asset.
