      Your opportunity:

      Working under the direction of the Assistant Director, Management Co-op, the incumbent will support the Management Co-op operations by managing recruitment-related data for the program using the co-op software management system, maintaining data integrity through accurate data uploads and entry, actively processing and monitoring the online work term preparation course and the final work term reports. This support is in the form of data manipulation in the co-op student placement and database system checking applications for accuracy and completion, scheduling job closings and delivery of applications to employers, interviews, sorting, filing, scanning, photocopying and word processing using personal computers. The incumbent will also proactively create reports from both the online database and other sources.

      The incumbent will also be responsible for supporting the Business Development team as they serve employers in all aspects of recruitment. This includes posting jobs, screening applications, scheduling interviews, booking rooms, arranging to park for employers, attending co-op events, and answering general student inquiries. Working in this professional environment, the incumbent will further outreach to employers and provide the first line of response to employers’ issues, responding to employer inquiries and coordinating site visits.

      Your responsibilities will include:

      • Providing detailed explanations to students
      • Coordinating interview schedules
      • Creating and updating job postings in the database
      • Maintaining a database
      • Writing documents and correspondence
      • Generating reports
      • Verifying the accuracy and completeness of documents
      • Determining logistical details and activities for events and/or programming and providing information on programs and events

      Essential Qualifications:

      • College Diploma (2 years) in a related field or equivalent combination of education and experience.
      • Minimum two (2) years of relevant administrative office experience in a front-line position working in a busy office environment with demonstrated experience working directly with students and employers.
      • Demonstrated experience working with a database including data manipulation and reporting skills.
      • Experience scheduling and arranging meetings involving many individuals.
      • Must have strong customer service orientation and effective interpersonal skills.
      • Advanced computer skills including knowledge of Excel, Word and PowerPoint.
      • Demonstrated analytical, project coordination and problem-solving skills.
      • Must have excellent communication (verbal and written).
      • Ability to work in a highly professional business environment exercising tact and diplomacy.
      • Excellent telephone manner; initiative; good judgment, attention to detail, and accuracy a must
      • Excellent time management skills with the ability to meet tight deadlines while multitasking and balancing conflicting priorities.
      • Must have a positive demeanor with a commitment to service excellence and be a strong team player.
