      Reports to: Deputy Chief of Human Capital

      Position Description:

      The SubCentral Coordinator works as part of the Office of Human Capital team to provide the BPS District with recruiting, hiring, and retaining the best substitute talent. Under the supervision of the Deputy Chief of Human Capital, the coordinator will also support with strategic projects for the SubCentral team and all HR functions for District Wide Substitutes.

      The SubCentral Coordinator works collaboratively as part of a cross-trained team that ensures the BPS District has a large and diverse pool of substitutes. In addition, the coordinator supports school leaders in filling individual school substitute staffing needs, which comprise per diem and long-term assignments.

      Responsibilities:

      Direct SubCentral Support

      • Build, maintain, and deploy a strong substitute pool that is able to meet the needs and demands of district-wide absences
      • Maintain the Guild substitute pool
      • Utilize licensure data and an active substitute list in Peoplesoft to support school leaders and hiring managers in finding substitutes for needed vacancies
      • Establish and maintain a strong, positive working relationship with central and school-based staff to support onboarding, retention, development, and performance of high-quality substitute candidates
      • Regularly update and utilize tracking systems to monitor hiring processes, including decreasing the time from offer to active and in the system
      • Maintain professional knowledge and experience; build functional and/or technical knowledge and skills necessary; keep up to date with hiring practices, and tools to effectively manage workload
      • Manage the SubCentral platform for Administrators, Substitutes, and Teachers
      • Update and maintain SubProfiles in SmartFind Solutions
      • Own all transactional work for SubCentral by processing substitute hires to fill vacancies and according to hiring decisions and proactive hiring from the district-wide substitute pool
      • Support SubCentral Manager with administrative tasks for SubCentral including processing large mailings for employees, and other tasks as necessary
      • Manages Employee information updates, and all payroll functions for district substitutes

      Communication and Customer Service

      • Provide school candidates, hires, and current staff excellent customer service by answering HR-related queries with correct information or providing additional support by troubleshooting and/or forwarding to appropriate resources within the department;
      • Provide timely status updates to school leaders, department hiring managers, and employees regarding the hiring timeline
      • Respond to requests regarding Boston Public Schools HR-related policies and procedures regarding substitutes
      • Communicate consistently and frequently with the Human Capital Managers, school leaders, department hiring managers, and Substitutes to make appropriate connections regarding substitute placement and distribution across the district

      Recruitment, Hiring, and Onboarding Operations:

      • Support recruitment strategies that engage the Boston community and beyond in building a pipeline of high-quality Substitute Teachers that reflect the diversity and learning needs of the BPS student population.
      • Seek partnership opportunities with other teams, such as Recruitment as well as external partnerships, to help bolster and support an increase in substitutes
      • Support with the creation of tools and resources for the substitute recruitment process
      • Support the team in building, improving, and maintaining tools and systems used related to hiring and onboarding
      • Additional related duties as assigned

      Qualifications - Required:

      • High School Diploma/ GED
      • 2 years of related experience
      • Robust problem-solving skills and the ability to act decisively while weighing many competing priorities
      • Experience managing a variety of projects
      • Excellent verbal and written communication skills
      • Experience using Google Suite and HR technology
      • Detail-oriented, highly organized, with strong time management skills and the ability to prioritize competing priorities
      • Ability to work as a team member and collaborate with others

      Qualifications - Preferred:

      • Bachelor’s degree OR five (5) years of HR-related experience
      • Familiarity with Boston and Boston Public Schools

      Terms: Managerial, B22. 12-month work year. Occasional evening and weekend work.
