Job Description

- To provide a high standard of administration support to cardiothoracic clinical teams as and when required.
- Typing of clinical letters including clinic letters, urgent medication letters, result letters etc to a high standard.
- Retrieval and filing of medical notes as required.
- Receiving and opening of mail and taking appropriate action.
- To support the Medical Secretarial Team in providing a comprehensive service to the consultants and clinical teams.
- To provide cross-cover across the cardiology department as and when required.
- Photocopying and scanning as required.
- Maintaining accurate filing systems.
- Liaising with medical records to organise follow-up appointments.
- Liaising with other departments both internal and external to the Health Board.
- Assisting with any other administration duties as required.
- Support with data collection.
- Good standard of general education and English Grammar
- RSA 2 or equivalent qualification in audio typing/word processing or equivalent experience
- Previous experience as audio typist/secretary/admin assistant with working knowledge of Microsoft Office
- Good understanding of the need for accurate data capture and reporting
- Previous NHS/Healthcare environment experience
- Previous experience of dealing with the public on sensitive issues
- Excellent keyboard skills
- Excellent communication, interpersonal and organisation skills
- Good telephone manner
- Able to function efficiently under pressure and meet deadlines
- Ability to use UHB intranet and email systems
- Ability to learn the UHB Database for patient tracking/results reporting systems
- Knowledge of hospital systems
- Knowledge of medical terminology
- Flexible approach to work, adaptable, friendly, personable
- Able to communicate effectively with persons from all walks of life
- Ability to work as part of a team in an extremely busy environment
- Pleasant and sympathetic manner
- Ability to speak Welsh

Job summary
This post is fixed term/secondment for 12 months to meet the needs of the service.
The Cardiothoracic Directorate is a busy and growing service based at University Hospital of Wales and University Hospital Llandough.
We are looking for a capable and enthusiastic individual to work within the Cardiothoracic Department. The applicant should have the essential requirements outlined in the personal specification, with excellent communication and organisational skills, ability to work with minimum supervision and the ability to prioritise their own workload. Excellent audio typing/typing skills is also an essential requirement for this role.
Main duties of the job
The ability to speak Welsh is desirable for this role; Welsh and/or English speakers are equally welcome to apply.
