Summary
The Talent Management Administrative Assistant provides administrative and operational support to the Director of Development, helping to facilitate talent acquisition, onboarding, and learning & development initiatives.
This role supports the management of the applicant tracking system (ATS), assists in organizing and maintaining the learning management system (LMS) course library, and helps track and update candidate records for third-party headhunters. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple administrative tasks to assist the Director of Development's efforts.
Key Responsibilities
Talent Acquisition & Candidate Management
• Support the management of the ATS by ensuring accurate tracking of applicants throughout the hiring process.
• Assist in organizing and maintaining a database of candidates from external recruitment partners, ensuring records are current and well-organized.
• Help prepare reports on recruitment metrics, pipeline movement, and candidate success rates.
• Coordinate interview scheduling, candidate communication, and document management.
• Provide administrative support for onboarding processes, including new hire paperwork and record-keeping. Learning Management System (LMS) & Course Administration
• Support the organization and upkeep of the LMS course library, ensuring content is properly categorized and assigned.
• Assist in tracking employee training progress and managing course enrollments.
• Help compile training records and ensure compliance with learning objectives.
• Provide logistical and administrative support for training initiatives.
• Assist in updating and enhancing LMS courses by refining placeholders, improving formatting, and adding visuals or interactive elements to make content more engaging and user-friendly. General Administrative Support
• Provide administrative support to the Director of Development in tasks related to talent acquisition, candidate tracking, and training coordination.
• Help maintain organized records of hiring, training, and recruitment efforts, ensuring accessibility and accuracy.
• Assist in tracking key talent management metrics and preparing summaries or reports as needed. • Support scheduling and coordination of meetings, interviews, and training sessions.
• Assist in preparing documents, presentations, and communications related to talent management.
• Help with special projects and initiatives as directed, ensuring smooth execution of the Director's efforts.
Qualifications & Skills
• Associate's or bachelor's degree in business administration, human resources, or a related field preferred
• 1-3 years in administrative support, HR coordination, recruiting, or L&D administration preferred
• Experience supporting the use of an ATS
• Familiarity with LMS platforms
• Strong proficiency in Google Sheets, and database management
• Experience assisting with candidate tracking systems and learning management software.
• Strong attention to detail and organizational skills
• Ability to manage multiple tasks and deadlines effectively
• Excellent written and verbal communication skills
• Trustworthy, working with confidential and sensitive information Preferred Qualifications
• Experience supporting a talent acquisition or learning & development function
• Prior experience in a fast-paced, high-growth organization with independent contractors
• Familiarity with the headhunting processes or similar external recruiting firms
