      Job summary

      An opportunity has arisen for a Team Administrator to join our friendly team at the Community Mental Health Team for Older Adults in Redhill, there may be a requirement to work at the Caterham hub on occasions.. The position is for 22.5 hours per week - Monday to Wednesday as this is a job share with the other Administrator who works Wednesday to Friday.

      As Band 3 Administrator you will need to demonstrate you possess good communication skills as this position involves you being the first point of contact for incoming calls to our service at times, you will also be dealing with incoming referrals and dealing with other administrative duties including generating clinical letters to GPs and making appointments. You will need to demonstrate that you have 1 year administration experience.

      The ideal candidate would be someone who has a passion for providing excellent customer service, is able to coordinate and prioritise work effectively whilst providing excellent support to our team, using initiative and being a good team player. The successful candidate will be competent in using Word, Excel, Outlook and be competent in using electronic patient information systems for which training will be provided.

      Short-listed candidates will be invited to attend a face to face interview. The interview also consists of a skills test on Microsoft Office.

      • Answer telephone calls and relay any messages in a timely manner and documenting on patient information system.
      • Receive and process referrals to the relevant clinician and system(s)
      • Process discharge paperwork and update system(s) accordingly
      • Book appointments on the patient record system
      • General administrative tasks such as typing, copying, scanning, printing, laminating etc
      • Provide support to team members in setting up rooms for meetings
      • Check and book rooms for other team members upon request
      • Scanning documents for uploading to patient record system
      • Receive and respond to e-mails in an appropriate manner, forwarding where necessary
      • Monitor and raise purchase requisitions for stationery, services (such as interpreters) and supplies for the department
      • Arranging clinic appointments
