- Generally,10-20 hours per week, 8am - 4:30pm, Monday-Friday
- Flexible scheduling based on academic availability and operational
- Minimum 20 hours per week and maximum 40 hours per week
- Some hours will be scheduled during business hours (8am - 4:30pm, Monday to Friday) while some hours will be night on-call rotation support (8pm - 8am)
- Night on-call support:
- Employees should expect to be on call 1-3 nights per week
- While serving as night on-call support, employees must be residing on campus in the room provided
- Hours for night on-call support will be 8pm - 8am
- Other night and/or weekend hours are required based on the needs of the groups you are serving. Schedules vary weekly based on staffing needs.
- During the summer months and conference season, overtime hours may occasionally be available and must be approved in advance by the Conference Services professional staff.
- Prior approval is required for staff to hold other employment or enroll in classes while employed in this position
- This position is considered seasonal during the summer months and is exempt from the 30 hour per week average rule in regards to the Affordable Care Act (ACA). Hours worked may exceed 30 hours/week during the summer months.
- Correspond directly with program sponsors and guests regarding components of their accommodations, meals, catering and other services with University Housing.
- Maintain conference databases by efficiently and accurately updating information in various systems.
- Accurately manage room assignments and rosters according to tilmelines
- Fulfill general administrative tasks including clerical support, word processing, data entry, and promptly and accurately responding to email and phone communication.
- Order inventory, organize, and maintain supplies.
- Attend and actively participate in staff meetings
- Assist Conference Services staff with special projects.
- Other duties as assigned
- Deliver all materials to various locations per schedule. Be on-site and manage designated conference group check-ins and check-outs
- Attend conference group meals and special catered events as designated and provide feedback. Network and assist program sponsors
- Be readily available to handle urgent situations and assist with emergencies during nonbusiness hours when on-call.
- Attend and actively participate in staff meetings
- May assist with desk, event and conference services coverage and support.
- Assist with Desk Services Check-in and check-outs throughout the summer
- Satisfactory results of a confidential criminal background check are required
- A valid driver's license which meets UW Risk Management standards is preferred but not required.
- Preference will be given to students with a good understanding of University Housing and Conference Services operations and mission.
- Preference will be given to students with previous office experience or work experience managing multiple responsibilities.
- Ability to occasionally lift up to 35 pounds.

6 Position Summary/Job Duties:
This is a customer centric role which deals with offering great services to our guests. This position is dedicated to delivering coordination and logistics for conferences, events (both residential and non-residential), and summer guests. This role is responsible for general administrative activities including database management, managing email and phone communication, and assisting with preparation of materials for a diverse clientele including conference sponsors, guests, and other University Housing staff. This role requires strong attention to detail, excellent computer skills, and the ability to provide a high level of customer service with a variety of internal and external customers and constituents.
