      Opportunity awaits! We are hiring a Vocational Rehabilitation Counselor Assistant to join our team! In this position, you will provide direct consumer support services to a team of VR counselors and the Branch Manager by performing technical casework assistant tasks. You will perform office support activities requiring good judgment and decision making, knowledge of policies, procedures, and laws.       Summary of Duties

      As a Vocational Rehabilitation (VR) Counselor Assistant, you will:

      • Process records requests from multiple agencies in accordance with agency records policy and client’s privacy rights.

      • Review tracking report with VRC to ensure medical records are received in a timely manner to complete eligibility.

      • Follow state and federal fiscal responsibilities, to include delegated signature authority, contract administration and procurement rules and vendor verification and authorization.

      • Track and follow up on lost warrants, assist with notarization process and reissuing warrants for clients and vendors.

      • Provide person-centered direct support services to consumers with disabilities by assisting with completion of application forms, gathering information to assist in determining eligibility for VR services.

      • Routinely contact consumers by telephone, in writing and in person to provide follow-up services and to monitor progress toward employment goals.

      • Answer multi-line telephone, assist callers with questions about VR services, provide appropriate program information and schedule intakes as requested.

      • Monitor and track client appointments, including missed and rescheduled appointments. Report to Branch Manager.

      Minimum Qualifications

      A valid driver’s license and acceptable driving record or appropriate form of transportation is needed. Reasonable accommodations per the ADA or other solutions in certain cases may be used to meet this need.

      Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data

      OR

      An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data

      OR

      An equivalent combination of education and experience.

      Essential Attributes

      We are looking for candidates with:

      • Experience maintaining a high degree of integrity with regards to ethics and respect for confidentiality.

      • Experience working with diverse population including individuals with disabilities.

      • Experience working in a collaborative team environment.

      • Experience in general office duties including but limited to answering multi-line phones, scheduling, emailing, billing and invoices.

      Working Conditions

      • General office environment and will work at the front desk.

      • Work in an environment with frequent interruptions due to phone calls, and staff or client needs.

      • Must have the ability to prioritize and work under critical timelines.

      • Local or out of town travel is necessary at times.

      • You will interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their emotions.
