      About the Opportunity:

      Working as a Volunteer Coordinator for Spartan Race, you will manage elements of recruiting volunteers and managing volunteers for events. The role involves assessing and meeting the needs of each event through recruitment, placement, and retention of volunteers. You will work side by side with the Race Project Manager, Race Director, Festival Manager, and Registration Coordinator. While on site for each event, you will check in , distribute, check out, and answer questions throughout the day.

      Volunteers are the backbone of our events. The Volunteer Coordinator plays a key role in the success of the event.

      While not on site, you will complete daily administrative tasks that keep our department running smoothly. As a Volunteer Coordinator, it is your responsibility to ensure a great experience for our volunteers before, during and after the event to instill loyalty and maintain a high standard for customer service and delight at our events.

      Essential Duties/Responsibilities:

      • Ensure the department is operating within current company standard operating procedures

      • Determine the logistics and resources needed to create a volunteer plan based on the event needs and schedule. This includes appropriate amounts of volunteers at strategically planned designated times, collateral, and supplies.

      • Monitor the entries of the Festival Purchase list (PDD), while communicating with onsite support and procurement, specific resources outstanding or needed to produce the event

      • Communicate any onsite needs (supplies, collateral, signage, supplies, food) through the proper channels on site and follow up when necessary

      • Work with Race Director, Race Project Manager, Festival Manager, and Registration Lead to determine the needs of each zone.

      • Provide leadership by conducting yourself in a professional manner

      • Timely pre-race communication with planning team, relaying all pertinent information needed to the event

      • Complete on site checklist

      • In coordination with the Race Director, ensuring timely and accurate payment/tracking of donation groups and paid volunteers

      • Communicate with zone leaders, Race Director, Festival Lead, and Foreman on race day during changeover to allocate volunteers based on needs and quantities.

      • Ensure all volunteers are checked out before leaving the event site

      • Ensure your inventory is accurate and completed by end of race day

      • Post event surveys, codes, and credits should be submitted to the appropriate person by Friday after the last race day.

      • Attend all event related calls pre event and post event

      • Provide input on weekly VC calls

      • Assist with daily tasks

      • Complete assigned projects to a quality standard efficiently and by the deadline

      • Confidence and poise to initiate contact and establish relationships with community organizations with the goal of successfully recruiting volunteers

      • Capacity to oversee volunteer records management to ensure accuracy, confidentiality, and security of all required documentation.

      • Positive communication, supervision, and support skills with volunteers and staff.
      • Regular travel is required for this role

      Qualifications:

      • Have previous experience working in large diverse groups in a dynamic environment

      • Be comfortable working outdoors in challenging conditions

      • Be comfortable traveling 60 days a year

      • Possess sound communication skills including availability via phone or email

      • Have an attention to detail and can drive timelines

      • Possess a strong analytical approach to managing projects and problem solving

      • Thrive in an environment of process, creative thinking and problem solving

      • Strong communication skills

      • Ability to work under pressure

      • Be capable of navigating and utilizing email, Microsoft Office programs, Google Drive and Egnyte, chronotrack, Rosterfy and Ticket Socket
